Receiving settings

The warehouse app can ask your team for photos of each trailer when a delivery arrives: before it is unloaded, and again once it is empty. These settings decide whether it asks, and for how long the photos are kept. See Receive for what your team sees.

Where to find it: Settings > Receiving Who can use it: you need the “View settings” permission to open the page and the “Manage settings” permission to change anything. Without the second you can read the values but not edit them.

  • Your depot only takes vans or couriers with no trailer, so the photo steps get in the way.
  • Your contracts need proof of arrival for longer (or shorter) than the default.
Field What it means Required Why it matters
Arrival photos The switch. On by default for every workspace. When on, the warehouse app asks for the trailer photos. Yes Turned off, the warehouse app goes straight to receiving: no trailer question and no photos. Photos already taken stay and are still shown on the manifest and in the customer portal until they pass their age.
Keep arrival photos for (days) How many days a photo is kept before Tracovy deletes the file. Starts at 90. Yes, a whole number 1 to 3650 This is separate from damage photos, which are kept for 7 days. Changing it applies to every photo, old ones included, from the next nightly clean-up.
Action What it does
Save Saves both values. Only shown if you can manage settings.

Every night Tracovy deletes the files of arrival photos older than the number of days you set. The record stays: the manifest still shows that the step was done (or skipped, with the reason and time), and the photo is simply no longer shown. Skips are never deleted.

  • Turning the switch off does not delete anything. It only stops the warehouse app asking.
  • A photo older than the new number of days is deleted at the next clean-up, so shortening the number cannot be undone.
