Customer portal
The customer portal is a small, separate app for your customers - the businesses whose goods you store and deliver. In it they can place orders, follow them, and check how much of their stock you hold. They see only their own account: never another customer’s orders or stock, and none of your own screens.
Where to find it: your workspace address followed by /portal, for example acme.tracovy.com/portal.
Who can use it: people at your customer who have been given a portal login. Your own staff sign in to the main app, not the portal.
What a customer can do
Section titled “What a customer can do”| Area | What they can do |
|---|---|
| Dashboard | See a welcome, how many of their orders are open, and links to Orders and Inventory. |
| Orders | See their orders and each order’s progress, and place a new order from stock you hold for them. |
| Inventory | See how much of each product you hold for them, per depot - available, assigned to orders and damaged. |
| Manifests | See the deliveries heading to your warehouse for them, what arrived against what was expected, and the photos of the trailer. |
| Invoices | Customer admin only. Opens with what they owe (or In credit), how much of it is late, and the bank details to pay from Settings > Invoicing when they are set. Below that, their issued invoices and credit notes, newest first, each marked To pay, Late, Paid or Credit, with a download button. A late invoice says how many days late under its due date. Drafts are never shown. |
| Statement | Customer admin only. Everything billed to and paid by their account, with a running balance, under tiles for the opening balance, Charged, Paid or credited and the balance. It opens on This month; Last 3 months, This year or their own dates change the period, and Download CSV saves it. |
Orders placed in the portal arrive in your Orders screens like any other order and reserve stock straight away.
Only a Customer admin sees money: order prices, invoices and the statement. Members and viewers see none of it.
Signing in to the portal
Section titled “Signing in to the portal”Where to find it: /portal/login on your workspace address. Anyone going to /portal without being signed in is sent there.
| Field | What it means | Required | Why it matters |
|---|---|---|---|
| The email on their portal login. | Yes | Identifies the portal user in your workspace. | |
| Password | Their portal password. | Yes | Sign in stays disabled until both are filled in. |
If sign-in fails the portal shows “Invalid email or password.” The same message is shown when:
- the email or password is wrong;
- the portal login has been switched off;
- the customer’s account is Suspended on your side (see Customers list).
The portal header shows the customer’s name, the menu items (Dashboard, Orders, Inventory, plus Invoices and Statement for a Customer admin) and Log out. Signing in from a link to a portal page, such as an emailed invoice, returns to that page.
Portal roles
Section titled “Portal roles”Each portal login has one of three roles:
| Role | Orders | Inventory |
|---|---|---|
| Customer admin | View and place orders | View |
| Customer member | View and place orders | View |
| Customer viewer | View only | View |
A viewer still sees the New order button, but placing the order is refused.
Setting up portal logins
Section titled “Setting up portal logins”Portal logins belong to one customer. There is not yet a screen in the Tracovy app to create them; they are set up through the Tracovy API by someone with permission to manage customer portal users.
Tips and common mistakes
Section titled “Tips and common mistakes”- Suspending a customer locks every one of their portal users out at once. Reactivate the customer to let them back in.
- If a customer says the portal shows no stock, check that their products have been received and put away - the portal only shows stock you have recorded.
