Portal manifests

The Manifests screen shows a customer the deliveries heading to your warehouse for them and what has arrived so far. It is read-only: nothing on it can be changed from the portal.

Where to find it: Portal > Manifests (/portal/manifests on your workspace address). Who can use it: every portal role - Customer admin, Customer member and Customer viewer.

  • Check whether a delivery has arrived and how much of it was booked in.
  • See which units were damaged or are still owed.
  • Look at how the trailer arrived when a delivery is disputed.

One row per manifest of this customer, never another customer’s.

Column What it means
Reference The reference on the manifest.
Status Pending, In progress, Completed, Completed with missing or Cancelled.
Expected The expected arrival date.
Completed When the manifest was closed, if it has been.

Click the reference to open the manifest. A manifest with no reference shows “No reference” and opens like any other.

At the top: the reference, its status, and three totals - Expected, Received and Damaged. Units that arrived with no product the customer knows are left out of the totals.

Column What it means
Code The product code. A line that was not on the manifest carries an Extra badge; a line for an unknown product shows the scanned code.
Description The product description.
Expected The quantity on the manifest.
Received Good units booked in.
Damaged Units recorded as damaged. They are not included in Received.
Waiting for For a product with a barcode per box, which boxes are still owed.

Below the lines, Trailer arrival shows the photos your team took of the trailer this manifest came on:

  • Before unloading: the load as it arrived, the number plate and the seal.
  • Empty trailer: the trailer after unloading.

Click a photo to open it full size. If your team skipped a step, the customer sees the reason and the time (and the note, when the reason is Other), but never the name of the person who skipped. A step that is not done yet says “Not taken yet.” Photos that passed their keep period say “These photos are no longer kept.” A manifest that was never on a photographed trailer says “No arrival photos.”

Damage photos are not shown in the portal.

  • If a photo is missing, check the age of the delivery against Receiving settings: photos are deleted after the keep period.
  • A manifest the customer cannot find is not in their account. The portal says “This manifest is not in your account.”
