Booking page

When you ask a recipient to agree a delivery date, they receive a link to this page. It shows the proposed date and two buttons: confirm it, or ask for another time. Their answer goes straight back to your bookings list and stops any further reminders.

Where to find it: /bookings/<code> on your Tracovy web address. The recipient gets the link in the Order / Confirm - Request text and email (order.confirm_request) and, if they still have not answered, in Order / Confirm - Attempted (order.confirm_attempted). Who can use it: anyone with the link. There is no login; the code in the link is the key.

  • A recipient confirms the date you proposed.
  • A recipient tells you the date does not suit them.
  • Someone in your office checks what the recipient was asked.

Booking requests are sent from the office - see Bookings.

Item What it means
Confirm your delivery The page heading.
Order reference The order’s reference, or its tracking number if it has no reference.
For … The recipient’s name, when the order has one.
Proposed delivery date The date you proposed. Shows “to be confirmed” if the booking has no date yet.
Action What it does
Confirm this date Accepts the booking. The booking becomes Accepted, the order’s Confirmed step is ticked, reminders stop, and the recipient is sent Order / Confirm - Accepted (order.confirm_accepted).
Request another time Rejects the booking. The booking becomes Rejected, reminders stop, and the recipient is sent Order / Confirm - Declined (order.confirm_declined). Nothing moves in the warehouse - the goods stay where they are while you agree a new date.

The buttons only show while the booking is waiting for an answer. Once answered, the page shows the outcome instead.

Status Message on the page
Requested The two buttons above.
Accepted “Delivery confirmed - Thanks - we’ll deliver on the date above. You can close this page.”
Rejected “We’ll be in touch - You’ve asked to reschedule. Our team will contact you to arrange a new time.”
Expired “This booking has expired - The confirmation window has closed. Please contact the sender to rearrange.”

If the link is wrong the page shows “We couldn’t find that booking.” If the answer cannot be saved (for example the booking was answered in another tab), the recipient sees “Sorry, we couldn’t record your response. Please try again.”

Until the recipient answers, Tracovy chases them in steps:

  1. A text message (order.confirm_request) with the link.
  2. About a day later, an email (order.confirm_request) with the link.
  3. About a day after that, a phone call that reads out Order / Confirm - Request (voice), or the text message wording if that template is off.

If the call does not get an answer either, the recipient is sent Order / Confirm - Attempted (order.confirm_attempted) with the link again. Reminders stop as soon as the recipient answers, and stop for good once the booking is a few days old (3 days by default).

  • If a recipient chose Request another time, call them: the page does not let them pick a new date themselves.
  • Switching off the booking templates also switches off the reminders that use them. See Notifications.
