Finding your way around

Every screen in Tracovy shares the same frame: a menu on the left and a header across the top. This page explains both, plus the two things that decide what you can see - your role and your depots.

Where to find it: on every screen after you sign in. Who can use it: everyone. What appears in it depends on your role.

The menu lists every area you are allowed to open. Your organisation’s logo (or its first letter) and name sit at the top; click them to go back to the Dashboard.

Part What it does
Workspace Dashboard, Orders (with Open Orders and Confirmed Orders below it), Import Orders, Routes, Plan Routes, Bookings, Scanning and Notifications.
Plan Routes Opens a list of your depots instead of a page. Picking a depot opens that depot’s planning board in a new browser tab, so a planner can keep several depots open side by side.
Customers, Finance, Organization, Warehouse, Receiving, Fulfilment, Communication, Settings Groups that open and close. Click the group name to show its screens. The group you are working in opens by itself. Finance (Invoices, Payments, Statements, Aging) is shown only to people who can view invoices.
Soon An item marked Soon is planned but not finished. You can see it so you know it is coming.
Collapse button The icon at the left of the header (or Ctrl+B) shrinks the menu to icons only, giving more room to wide screens such as the planning board. Hover over an icon to see its name; click a group icon to see its screens in a pop-out.

The highlighted item is the area you are in. Detail pages keep their area highlighted - an order’s page keeps Orders lit.

Control What it does
Search for anything… Opens the search and quick-action window. See below.
Moon / sun icon Switches between the light and dark theme.
Fullscreen Fills the whole screen with Tracovy. Not shown on browsers that do not support it, such as Safari on iPhone.
Bell Shows how many of your reminders are overdue, as a red number. Click it to open Settings > Reminders. Only shown if your role can view reminders. See Notifications inbox.
Your initials or photo Opens your account menu: Profile, Settings, the theme choice (Light, Dark or System) and Sign out.

Click Search for anything… or press Ctrl+K (Cmd+K on a Mac) anywhere in the app.

  • With nothing typed, the window lists every screen under Navigate - type part of a name, such as “stock”, and press Enter to jump there. Screens marked Soon are left out.
  • Under Preferences you can Toggle theme, Toggle sidebar and Toggle density (comfortable or compact tables).
  • Type two or more characters to search your records. Results are grouped under Orders, Users, Depots, Zones and Routes; pick one to open it.
  • Press Escape to close the window.

What you can see and do is decided by your role, which your administrator sets in Settings > Users and Settings > Roles. A role is a list of permissions such as “View customers” or “Manage customers”.

  • A whole area is missing from the menu: your role has no permission to view it. For example, the Customers group only appears with “View customers”.
  • A screen opens but a button is missing: you can look but not change. Tracovy hides buttons you cannot use rather than showing them greyed out. For example, without “Manage API keys” a customer’s API keys tab has no New API key button.
  • A tab is missing on a detail page: the same rule. The API keys tab on a customer only appears with “View API keys”.

If you need something your role does not allow, ask your administrator. They can change your role, or change what a role allows, in Settings > Roles.

Your user account can also be limited to one or more depots (your sites). Your administrator sets this when creating or editing your user, in the depot field that reads All depots when there is no limit.

  • All depots (the default) - you see work from every depot.
  • Some depots - lists of orders, deliveries and vehicles only show what belongs to your depots. Work at other depots is hidden from you, not deleted.
  • Planning boards open in a new tab. If nothing seems to happen when you pick a depot under Plan Routes, check whether your browser blocked a pop-up.
  • Toggle density and the theme are remembered by your browser, so they follow you from screen to screen but not to another computer.
  • Tables let you hide columns you do not need; the choice is remembered per table.
