Driver app

The driver app is a phone-sized web page drivers use on the road. It shows the stops on one route, in order, and is where the driver records each delivery - with photos and a signature when the order needs them - or reports why a delivery could not be made.

Where to find it: open /driver/login on your Tracovy web address (for example https://yourcompany.<domain>/driver/login) in the phone’s browser. Who can use it: anyone who has the route’s code and passcode. There are no driver accounts: the code and passcode belong to the route, not to a person. A driver can only see and act on the route they signed in to.

  • Start the day: sign in with the code and passcode from the route card.
  • See the stops in the order they should be visited, with the address and phone number.
  • Record a delivery, with photo and signature proof where the order requires it.
  • Report a failed delivery and say why, so the recipient and the customer are told.
Field What it means Required Why it matters
Route code The route’s code, as printed on the route card and shown in the App ID column of the routes list. Yes, up to 40 characters Picks the route. Letters are not case-sensitive - Tracovy turns them into capitals.
Passcode The route’s passcode, shown under the code on the route card and in the App ID column. Yes, up to 12 characters Proves the driver was given this route. Not case-sensitive.
Action What it does
Sign in Checks the code and passcode and opens the stop list. If they do not match a route you see “That route code and passcode do not match a route.”

A sign-in lasts for one working day (12 hours by default). After that, or if the route’s passcode is changed in the office, the driver is sent back to the sign-in screen and needs the current passcode.

The first screen after signing in. A card at the top summarises the route; below it every stop is listed in visiting order. On a multi-day route the stops for day 1 come first, then day 2, and so on.

Item What it means
Route reference The route’s code.
Date and vehicle The route’s scheduled date (“Unscheduled” if it has none), followed by the vehicle registration once a vehicle is assigned.
Delivered count For example “3/12 delivered”: how many stops are fully delivered out of all stops on the route.
Stop line The stop number and the recipient’s name, with the address and town underneath. Tap it to open the stop.
Stop status pending - still to do. delivered - every parcel for this stop has been delivered. failed - the latest attempt at this stop was reported as failed.
Action What it does
Refresh (circular arrow) Reloads the route, to pick up stops the office has added, removed or re-ordered.
Not your device? Re-pair Signs this phone out and goes back to the sign-in screen.
Retry Shown if the route could not be loaded (for example, no signal). Tries again.

If the route has no stops you see “No route assigned today”.

Item What it means
Location banner Whether the phone has a location fix. If location is denied, unavailable or slow, a warning shows with a Retry button.
Recipient name and address Who the delivery is for and where, from the order.
Phone number The recipient’s phone number. Tap it to call. Only shown when the order has one.
Delivery instructions The recipient’s delivery instructions from the order, such as “Leave with neighbour at 12”. Only shown when the order has some.
Parcels Every parcel for this stop, with its short code (the code printed on its label) and its status. A stop covers all the parcels of one order.
Action What it does
Back to route Returns to the stop list.
Deliver Opens the proof section. Disabled until the phone has a location fix.
Report failed Opens the failed-delivery section.

When a stop is already finished you see “This stop is already marked delivered” (or “failed”) instead of the buttons. If the order has no parcels yet you see “No parcel is linked to this stop yet.” - the order needs to be packed before it can be delivered.

After tapping Deliver:

Field What it means Required Why it matters
Photo proof Photos taken with the phone camera, for example of the goods at the door. Required when the order’s service level asks for photo proof; otherwise optional. Up to 4 photos. Stored with the delivery and shown on the proof of delivery PDF and to the recipient on their tracking page. Photos are shrunk on the phone before sending.
Signature The recipient signs on the screen with a finger or stylus. Required when the order’s service level asks for a signature; otherwise optional. Printed on the proof of delivery PDF.

What the order needs is set by its service level, chosen on the order. A service level asks for one of: a scan only (no photo or signature needed), a photo, or a signature. If a stop has parcels with different requirements, the strictest one applies to the whole stop.

Action What it does
Add photo (0/4) Opens the camera. Each photo shows as a thumbnail; tap the cross on a thumbnail to remove it.
Clear signature Wipes the signature box so the recipient can sign again.
Cancel Closes the proof section without recording anything.
Confirm delivered Records every parcel of the stop as delivered, with the time, the phone’s location and the proof. Disabled until the required proof is captured and the location is known. The app then returns to the stop list.

What happens next:

  • Each parcel moves to delivered.
  • When the last parcel of the order is delivered, the order itself is marked Delivered.
  • The recipient is sent the Order / Completed message (order.completed), with the proof of delivery PDF attached if the email and its attachment are switched on. This message is switched off by default - see Notifications.
  • A proof of delivery PDF is also kept on file. See Proof of delivery.

After tapping Report failed:

Field What it means Required Why it matters
Why couldn’t you deliver? A short reason, for example “No answer at door”. Yes, up to 500 characters Sent word for word to the recipient and the customer, and kept on the delivery record. Write it so a customer can read it.
Action What it does
Cancel Closes the section without recording anything.
Confirm failed Records a failed attempt for every parcel of the stop, with the time, the reason and the phone’s location. Disabled until there is a reason and a location fix.

What happens next:

  • The parcels stay on the van (out for delivery), ready for another attempt. Nothing moves in stock.
  • The stop shows as failed in the stop list.
  • The recipient is sent Order / Delivery Failed (order.delivery_failed, by SMS) and the customer is sent Customer / Delivery Failure (customer.delivery_failure, by email), both including the reason. One message is sent per failed attempt, however many parcels the stop has.

Tapping the button twice, or retrying after a lost signal, does not record the attempt twice or send a second message.

  • Make sure the driver has the route card, or the code and passcode, before leaving the depot. Without them there is no way in.
  • If the office changes the route’s passcode, every phone signed in to that route is signed out.
  • Use the refresh button on the stop list to see changes the office made during the day.
  • Once a stop is marked failed, the app does not offer Deliver for it again. If the driver goes back later and can deliver, contact the office.
  • Keep failure reasons factual and polite; the recipient and the customer both read them.
